Terms of Service

Last updated: September 18, 2026

These terms govern your use of ClaimTrack, a CRM and lead-management application for public adjusters and property-loss professionals.

1. Acceptance of terms

By creating a ClaimTrack account or using the application, you agree to these terms. If you do not agree, do not use ClaimTrack. If you use ClaimTrack on behalf of a firm, you confirm you are authorized to accept these terms for that firm.

2. Your account

  • You must provide accurate registration information and a working email address, and verify that address.
  • You are responsible for keeping your password confidential and for all activity under your account.
  • One workspace is created for the firm name you supply at registration, and the account that creates it becomes its Owner.
  • A workspace may have multiple users. The Owner and Admins may invite team members, assign them Admin or Member roles, and remove or restore their access; Members cannot manage the team.
  • Owners and Admins are responsible for the people they invite and for managing their access promptly when someone leaves the firm.
  • Authorized members of a workspace share access to its records according to their role. Removing a member ends their access but does not delete the records they created while authorized.
  • You must tell us promptly if you believe your account has been accessed without your permission.

3. Permitted use

ClaimTrack is licensed to you as a hosted service for your own business use: tracking property-loss leads, contacts, claim information, activities, follow-ups, appointments, notes, documents, photos and reports.

4. Prohibited use

  • Do not use ClaimTrack for any unlawful purpose or in violation of any licensing, insurance or consumer-protection rules that apply to your practice.
  • Do not attempt to access another workspace's records, probe or bypass access controls, or interfere with the service's operation.
  • Do not upload malware, or content you have no right to store.
  • Do not resell, sublicense or copy the application itself, or use it to build a competing product.
  • Do not use automated means to extract data from the service beyond the features provided.

5. Your responsibility for the data you enter

You decide what information to enter into ClaimTrack, including information about property owners, insureds, carriers and other third parties. You are responsible for having the right to collect and store that information, for its accuracy, and for complying with the laws and professional obligations that apply to you. ClaimTrack stores and processes that information on your behalf.

ClaimTrack includes AI-assisted drafting for damage descriptions and repair cost estimates. Those outputs are drafts only. You must review and verify them; they are not an appraisal, engineering opinion, or legal advice.

6. Third-party integrations

ClaimTrack works with third-party services (for example Google Calendar, Google Maps and the AI providers described in the Privacy Policy). Your use of those services is also governed by their own terms. ClaimTrack is not responsible for a third-party service changing, limiting or discontinuing its availability.

7. Google Calendar integration

The Google Calendar connection is optional and is only started when you click Connect Google Calendar in Settings → Integrations. It requests a single permission, https://www.googleapis.com/auth/calendar.events, used to create, view, update and synchronize calendar events for ClaimTrack appointments and follow-ups. You can disconnect at any time; disconnecting stops future Calendar access and does not delete your ClaimTrack account or records. ClaimTrack does not request Gmail, Drive or Contacts permissions.

8. Intellectual property

The ClaimTrack application, its name, design and software are owned by ClaimTrack's operator and are protected by intellectual property law. You keep all rights to the data you enter. You grant ClaimTrack only the permission needed to host, process, back up and display that data to you in order to provide the service.

9. Service availability

ClaimTrack aims to be available continuously but is provided without any uptime guarantee. Maintenance, third-party outages and factors outside ClaimTrack's control can interrupt access. Keep your own copies of anything you cannot afford to lose; ClaimTrack's PDF and photo exports exist for that purpose.

10. Suspension and termination

You may stop using ClaimTrack at any time and may request deletion of your account and workspace (see Support). ClaimTrack's operator may suspend or terminate an account that breaches these terms, creates a security or legal risk, or is used to harm other users. Where practical, notice will be given first.

11. Disclaimers

ClaimTrack is provided "as is" and "as available", without warranties of any kind, express or implied, including fitness for a particular purpose, accuracy of AI-generated content, or non-infringement. ClaimTrack is a record-keeping tool, not a source of legal, insurance, engineering or financial advice.

12. Limitation of liability

To the maximum extent permitted by law, ClaimTrack's operator is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost business or lost data arising from your use of the service, even if advised of the possibility.

13. Changes to the service

ClaimTrack is actively developed. Features may be added, changed or removed. Changes that materially reduce core functionality will be communicated where reasonably possible.

14. Changes to these terms

These terms may be updated; the "last updated" date above will change. Continuing to use ClaimTrack after an update means you accept the updated terms.

15. Fees

ClaimTrack is currently offered free of charge and no payment information is collected. If paid plans are introduced, they are expected to be billed at the workspace level (for example, a base plan with an included number of users and charges for additional users), and pricing, billing and refund terms will be published and presented before any charge is made. No subscription, seat limit or trial restriction is currently enforced.

16. Contact

A published support email address for ClaimTrack is not yet available. Until one is published, please contact the ClaimTrack operator through the channel you already use.

The legal entity name, business address and governing law/jurisdiction for these terms have not been supplied and are intentionally left blank rather than invented. They should be added before these terms are relied upon.
